Project Coordinator

As a Project Coordinator, your responsibilities include project management, managing client communication, and — over time — being the predominant contributor on the project. This includes managing a network of freelancers, quality assuring the output the freelancers produce, and working in our proprietary workflow software. In order to do so, you will be expected to learn the ins and outs of our software. This includes working cross-functionally with our Product team to make on-going enhancements and troubleshoot bugs. Lastly, documenting and maintaining your business processes will be a core responsibility.

  • Perform the day-to-day work that keeps the client happy and engaged
  • Run weekly status calls with clients
  • Develop an expert-level knowledge of OneSpace’s proprietary software, primarily our workflow software
  • Establish, document and maintain procedures and processes
  • Manage the core components of client projects, including:
    • Working with the Account Manager to understand client needs
    • Identifying areas for improvement on projects and proposing appropriate solutions
    • Reviewing and approving all project deliverables to ensure quality standards and project expectations are met
  • Set up and maintain project plans in Wrike, our project management software, based on established client management standards
  • Coordinate multiple projects at once, keeping track of all deadlines, deliverables, and associated tasks
  • Ensure that project issues are dealt with in an efficient manner, informing the project team of any problems that may arise
  • Provide regular input on all project activity, including weekly status updates
  • Implement proper screening methods (tests, samples, surveys, etc.) to ensure the right freelancers have access to the right projects
  • Coach freelancers’ performance throughout the lifecycle of a project via email and forums; including resolving disputes, communicating instruction changes, and providing constructive performance feedback
  • Within defined parameters, develop incentives for freelancers, motivating them to improve turnaround time and increase productivity
  • Develop quality assurance processes to ensure quality standard are met
  • Excellent customer service skills evidenced by experience in a customer service role
  • One to three years of experience in a client-facing role
  • Clear and polished communication skills
  • Advanced Excel skills (3+ years experience), extremely comfortable working independently
  • Desire to learn new skills and develop industry knowledge
  • A self-starter mentality; you should thrive in a rapidly changing, fast-paced environment and tolerate ambiguity while demonstrating problem-solving leadership with limited supervision
  • Ability to recognize the urgency of situations and respond appropriately
  • Phenomenal organizational skills
  • BA/BS or equivalent preferred
